A client wanted to clean up his emails so I suggested the following:

  1. In his Main Identity, Empty Deleted Items, then Quit.
  2. In the folder Microsoft User Data:Office 2011 Identities, Duplicate the Main Identity folder, then rename the copy Old Email or whatever you wish (in case you need to go back and find an old email).
  3. Open Outlook (should default to Main Identity), go to Advanced Find, and Find emails in All Mailboxes where Date Sent is greater than X days old, where X is the # of days of email you wish to keep in the Main Identity (e.g. 365 for the past year). [In my client's example, he had over 75,000).
  4. *VERY IMPORTANT* Go to Spotlight Preferences:Privacy and Add the Microsoft User Data folder to the list. This will prevent Spotlight from slowing down the email deletion process by reindexing them.
  5. Back in Outlook, Select All, then choose Edit:Delete. All will be moved to the Deleted Items. Select Deleted Items folder, then control-click to get the popup menu, and Empty Folder.
  6. Now you'll need to repeat the process on the other database, but first you'll need to delete the Microsoft User Data folder from the Spotlight Privacy wiindow so it will Find properly (otherwise Outlook Find doesn't work!).
  7. Quit Outlook, open Microsoft Database Utility (option-Outlook), and choose the other (Old Email) folder and choose Make Default.
  8. Open Outlook, which should open the Old Email, and immediately go to Outlook:Work Offline. Then go to Tools:Run Schedule:Edit Schedules, and uncheck all of the schedules (e.g. to check mail, etc.). This will prevent this identity from automatically downloading recent emails, which you don't want.
  9. Then go to Advanced Find, and Find emails in All Mailboxes where Date Sent is LESS THAN X days. This finds all of the more recent emails.
  10. Again go to Spotlight and add Microsoft User Data to the Privacy window.
  11. Again in Outlook, Select All and Delete/Empty Deleted Items. One that's done, you can choose Outlook:Work Online.
  12. Quit Outlook, open up the Microsoft Database Utility, then select Main Identity and Rebuild, then Old Email and Rebuild. Then select Main Identity and choose Make Default, then quit.
  13. Again delete the Microsoft User Data folder from the Spotlight:Privacy window to allow Spotlight to index your emails.
  14. In Office 2011 Identities, Trash both of the [Backup] identity folders, leaving the two that you just finished optimizing.
  15. Open Outlook to Main Identity, and carry on.

After I start up Microsoft Outlook 2011 it stays for 30 seconds and an error page comes. When i click send or don't send error report, MS Outlook closes and restarts again.. this is continuing. 

I have pasted the error coming also down. Can anyone help me to identify the issue...

I run 3 email addresses through Apple Mail on iMac (El Capitan). The Outlook account has recently become unstable and when I try to reply to a mail, it gives me a blank email form which I cannot fill and can only delete if I restart the entire computer and then close the form from the bar at the bottom of the screen. This is driving me nuts. Any suggestions out there?

Obviously this is not possible. In the Windows version of Outlook there's no problem with that.

Is there a trick I've overlooked?

I purchased Office of Mac 2011 last year when and had no problem activating the word and excel with my product key but did not get around to activating Outlook. I have just tried to activate outlook using my product key but it now says it is not valid. I bought the program on disc and it is not just a subscription. Why isn't my product key now valid?
After years of successfully using my live.com email account with Office 2011, incoming attachments to emails have started saying "access denied". I have a Mac Book Pro running OSX 10.9.5. All software is up to date. Please help?
Within the past two weeks, my iMac has upgraded to OSX El Capitan 10.11.4 and Outlook 2011 14.6.2. The result is that Outlook stopped saving sent items, and the newest I have are two weeks old. I've searched everywhere and talked with those who run my email server. Nobody has a clue on what happened or what I need to do. I REALLY need to save sent messages. I'm using Outlook for Mac 2011 version 14.6.3 and whenever I type an apostrophe and sometimes when I don't physically capitalize and "I" (i.e. let auto correct handle it) or even the first word in a new paragraph, the alignment of the entire message switches on it's own from left to center.  In the middle of a sentence, if an apostrophe is typed, the entire sentence jumps to center alignment in the body of the message. Any ideas how to fix this or why it is happening would be greatly appreciated.

I am unable to access my Gmail account in Outlook.  After signing in I receive the following message:  Someone just tried to sign in to your Google Account rgstrobl@gmail from an app that doesn't meet modern security standards.  This has never happened before.  Any suggestions?
